How much does a virtual data room cost?

For a 20 GB room used by 2 admins for 6 months, published list prices from the 8 vendors whose plans fit come to $528–$39K using monthly billing where offered. On annual plans, which bill a full 12 months even for a 6-month project, the range is $720–$62K across 8 vendors.

14 of 25 vendors list a price for a data room plan on their own site and 9 quote on request. Third-party estimates with a named public source are shown separately and never mixed with list prices.

$528–$39K8 of 14 vendors that publish prices have a plan covering 20 GB and 2 admins for 6 months, monthly where offered. Totals include every month billed.

Totals use the lowest listed plan selected under the storage and admin-seat rules. Plans are not matched on features. Document, file-size and room limits may also apply; check the named plan before budgeting.

How the totals are calculated

Each total is what you would pay a vendor for the months it bills, not the months you use the room. A monthly plan bills the months you use; an annual plan bills 12 months at a time; a quarterly plan bills 3 months at a time; a fixed-term price table bills the shortest listed term that covers your project.

Every vendor is priced at the lowest listed plan whose stated storage and seat limits cover your inputs. Other limits a plan lists — documents, file size, rooms, features — are shown next to the price and are not checked, so a plan that fits on storage and seats may still not suit your process. The named plan matters: a vendor may offer several data room plans with different controls and limits. Extra seats or storage are added only when the vendor publishes their price; otherwise the row says a quote is required. Euro prices are converted at the European Central Bank reference rate of €1 = US$1.1133 on 2026-10-28.

Prices are as published by each vendor on the date shown and are computed for the inputs above. Vendors change prices, and discounts, taxes, overage and add-on charges may apply; confirm any figure with the vendor before relying on it. Estimates for quote-only vendors come from third parties and may not match an actual quote. Certifications and ownership are as stated by each vendor and have not been independently verified. The order is not a ranking or recommendation, and no vendor has paid to be included or positioned.

Vendors with published prices

Vendors are listed alphabetically, in this table and in every data room table on this page; the order is not a ranking. “Billed” is the number of months the plan charges for; “limits not checked” lists plan limits other than storage and seats.

Budget examples

Four fixed rooms, from a one-admin project to an eight-admin deal team, priced with the same rules for every vendor that publishes prices. Which vendor comes out lowest changes with the number of admins and the storage needed. Each example shows the total for monthly billing and for an annual commitment, with the months each one bills; the inputs do not change with the calculator above.

Totals use the lowest listed plan selected under the storage and admin-seat rules. Plans are not matched on features. Document, file-size and room limits may also apply; check the named plan before budgeting. Limits not checked are listed under each total.

Data room cost by use case

Eight rooms that come up often, each with fixed inputs and priced with the same rules as the budget examples above. Next to each total are four things the vendor states on its own site — how external viewers are counted, whether monthly billing is offered, how sign-up works and whether a free plan or trial is listed — because those change the real cost of a room more than the headline price does.

Totals use the lowest listed plan selected under the storage and admin-seat rules, on monthly billing where the vendor offers it. Plans are not matched on features. The three right-hand columns are what each vendor states on its own site, read between September 16 and October 1, 2026, with the date of each statement shown beside it; the exact page each one came from is linked in that vendor’s profile below, together with the wording it was taken from.

A founder's fundraising room

One owner uploads the room, dozens of investors read it, and the raise runs about a quarter.

For a founder's fundraising room (5 GB, one admin, three months), published plans from 10 vendors cover the inputs at $132–$7,842 for the months billed on monthly billing where offered; 6 of them state that external viewers are free and unlimited and 9 state that monthly billing is offered.

The inputs for each use case are illustrative and were fixed before the totals were computed; your room will differ. Fit is decided mechanically on stated storage and admin-seat limits only. Security, features, support, contract terms, jurisdiction and suitability for any particular transaction are not assessed here, and nothing on this page is a recommendation, endorsement or ranking of any vendor. The use-case and customer statements are each vendor’s own marketing statements, reproduced with the page and date they were read; they have not been verified, and naming a customer is not that customer’s endorsement of this site or of anything on it. Vendors change prices and terms; confirm any figure and any stated feature with the vendor before relying on it.

Which situations each vendor says it is for

Thirteen situations, and the vendors whose own website names each one. A vendor is listed under a situation only where its own page names that situation as something the product is for — in a use-case page, an industry list, a card heading or a navigation label — and the wording it was read from is quoted in that vendor’s profile. The list is the same for every vendor and was fixed before the pages were read.

An empty row, or a vendor missing from one, means the pages checked between September 16 and October 1, 2026 did not name that situation. It is not a statement that the vendor does not serve it, and it says nothing about how well any vendor handles it. Vendors describe themselves at different lengths, and a vendor that lists many industries in one sentence will appear in more rows than one that describes a single process in detail.

CapLinked, DocSend, Intralinks: their pages could not be read when checked, so they are absent from every row above rather than counted against any situation.

These are each vendor’s own marketing statements about itself, reproduced with the page and the date they were read. They have not been verified, and being named here is not a recommendation, an endorsement or an assessment of suitability for any transaction. A compliance claim on its own (for example a statement that a product meets a health-data standard) is not counted as naming a situation. Vendors change their websites; check the linked page before relying on anything in this table.

Features and sectors

What each published price is actually charged for, plan by plan: per room, per administrator or one flat plan. Which of 21 common features each vendor states on its own website: data room features. By sector — what goes into the room according to regulators and advisers, what a room of that kind costs at every vendor that publishes prices, and which vendors name the sector: Biotech and pharma · Construction · Consumer and retail · Education · Government and public sector · Financial services · Medical devices and healthcare · Legal · Manufacturing and industrials · Metals and mining · Oil, gas and energy · Real estate · Renewables and infrastructure · Technology and software.

Whether a vendor lists a numeric price for a data room plan on its own website, as checked on the date shown. Pricing guides and articles on the vendor’s own domain count; third-party sites do not.

Vendor profiles

Each profile reproduces what the vendor states on its own website — its description of itself, who it says the product is for, the customers it names, how external viewers, monthly billing, sign-up and any free plan are described, how it bills, security certifications, ownership, founding, headquarters and official profiles — with the page and date checked. Every vendor gets the same fields in the same order; a field the vendor’s own pages do not address reads as not stated on the pages checked. Up to three sentences per vendor are quoted for who the product is for, taken from the same places for everyone — the homepage, any use-case or solutions page, and the pricing page. Where a vendor’s own wording makes a comparative or superlative claim, it is reproduced as written rather than replaced with something plainer. Where a fact comes from a third party it is labelled. Vendors appear in alphabetical order; each profile has its own link.

Common questions

How much does a virtual data room cost per month?

It depends on the room, so the page prices every vendor for the same inputs instead of quoting one number. 14 of the 25 vendors publish enough to be priced from their own page; the rest state that a quote is required, and that is shown as the status of the row rather than filled in with an estimate.

Why do some vendors show no price?

Because their own website does not state one. Prices here are read from each vendor's own pricing page, last checked between 2026-10-01 and 2026-10-29, and a vendor that publishes no number carries a quote-required status and, where one exists with a named source, a third-party estimate.

Are the totals annual or monthly?

Both are shown: each vendor is priced on its annual plan where it offers one and month to month where that is offered, and the total states the months billed, because plans bill in whole blocks even when a room is needed for fewer months.
